Set Up Crew
Shift 1: 9:00 AM – 12:30
PM
Shift 2: 11:00 AM – 3:00 PM
Shift 3: 12:30 PM – 4:00 PM
Full shift: 9:00 AM – 4:00 PM
Overview
Set-up volunteers play
a crucial role in transforming the venue into a polished, prepared space that
meets all aesthetic and functional needs. Tasks include detailed decoration
placements, structural installations, and quality assurance, ensuring every
detail aligns with the event vision.
Roles & Responsibilities
- Décor Construction (9:00 AM – 12:30 PM) (3 volunteers needed)
- Use hot glue, wire cutters, and other hand tools needed to finalize the assembly of centerpieces and any other décor as needed.
- Blow up balloons for arches.
- Assist décor setup team as needed.
- Table Décor Setup (11:00 AM – 3:00 PM) (2 volunteers needed)
- Unpack and arrange table settings, linens, centerpieces, and any other tabletop décor such as programs.
- Ensure all elements align with the event theme and table numbering system.
- Quality-check for consistency across all tables and adjust as needed.
- Event Décor Setup (9:00 AM – 12:30 PM and 12:30 PM – 4:00 PM) (4 volunteers needed per shift)
- Unpack and arrange all foliage and flowers.
- Decorate arches with greenery and balloons.
- Set up and decorate photo booth.
- Help stage auction items.
- Assist with additional décor as needed.
Event Crew
Shift: 4:00 PM – 9:00 PM
Overview
Event Crew volunteers
support guest experience, event flow, and auction operations. This team ensures
smooth check-in and check-out, seating, guest assistance, and last-minute setup
adjustments.
Roles & Responsibilities
- Seat Ushering (4:00 PM – 9:00 PM) (2 volunteers needed)
- Assist guests in locating their assigned tables or designated seating areas.
- Provide mobility assistance to elderly or disabled attendees.
- Coordinate with event staff to address any seating discrepancies.
- Act as floating support to answer guest questions and provide directional assistance.
- Monitor high-traffic areas to ensure guest comfort and safety.
- Assist with check-in/check-out station if needed.
- Auction Assistance (4:00 PM – 9:00 PM) (4 volunteers needed)
- Monitor silent auction tables to ensure all bids are properly recorded.
- Assist with running auction items during check-out for winners.
- Package auction items for collection after the auction closes at 7:30 PM.
- Assist guests with mobile bidding technology.
- Collect final bid sheets and notify winners.
